There are a number of details that are inherited from an organisation when you create a new company, project or person.
If you have set up your organisation correctly in the first instance, this will make managing resourcing, invoicing, time entries, expenses and exporting to your accounting system more efficient.
Creating and editing an organisation
Projectworks administrators can create and edit organisations from the settings section. Go to:
Settings > System> Organisations
To create a new organisation, click on the blue “+” button on the top right hand corner of the screen. You can also edit an existing organisation by clicking on the Organisation Name, or hovering over the three horizontal dots next to the organisation and selecting to “Edit this Organisation”.
It is recommended you set the organisation attributes to values that are right "most of the time" to save you time and effort in updating these values when you add new companies, projects and people. In some instances, the organisation information may not apply, in which case you can change as required.
Organisation standard work week
As part of creating an organisation, you must set a standard work week. This is the standard work week structure for a full time employee (FTE) for that organisation. If the standard work week structure has changed (e.g. your organisation has recently adopted a four day work week), you will need to update the standard work week for the organisation. This can be managed by editing the organisation, or by updating the Organisation standard work week.
To edit the organisation standard work week, Projectworks administrators:
Go to: Settings > System > Hours, Days, Weeks and Year Settings > Organisation standard work week

Details inherited from an organisation
Once an organisation is saved companies, projects and people that are created for that organisation will inherit some details by default.
If the organisation is edited after a company or person is created, the details for those existing companies, projects or people will not be updated.
Details inherited by new companies
When a new company is created for the organisation, the Default Project Settings will be inherited from the organisation’s:

Set project default currency; and
-
Default sales tax (if applicable).
These details can be updated at the company level, so that projects created for that company default to an alternate currency and sales tax.

Details inherited by new projects
When a new project is created for the organisation, the Default Project Settings will be inherited from the organisation’s:

Set project default currency;
- Hours per day for invoicing; and
-
Default sales tax (if applicable).
If the company is updated for the project, the currency and default sales tax will default to the company’s default project setting currency and invoicing sales tax.
The currency and default sales tax can be updated at the project level, so that the project is set to an alternate currency and sales tax.
The hours per day for invoicing cannot be updated at a project level.
If the client for you project is billed by the day, but has different hours per day for invoicing than your organisation, you can manually update consolidated line items in your invoices.
If any PDF templates (e.g. invoices or quotes) utilised for the project contains an organisation:
-
PDF template detail; and/or
-
Invoice MergeField;
the organisation details will be included in the downloaded PDF.
Any outbound email sent from the project will include the organisation outbound email details.

Details inherited by new people or postings
When a new person is created for the organisation:

The Organisation standard work week will be added as their work week by default.
The work week can be updated before you save the person, and will be saved to the person’s posting. A person’s work week reflects their contracted capacity, i.e. the capacity that they are available to be resourced on a daily basis.

If a new posting is created, or an existing posting is edited, and the organisation is changed, the posting work week revert to the organisation standard work week.

Access control
Users with Admin.System.Offices.View access, can create and edit organisations, and edit the organisation standard work week.
