How to connect to Microsoft Outlook calendar (beta)

Connecting your Outlook Calendar to Projectworks enables you to view your Outlook calendar events in your timesheet and create time entries directly from them. This reduces the admin overhead of entering your timesheet!

Outlook calendar integration is currently in closed beta, but will be generally available in early 2026.

Anyone who has a Microsoft work or school Outlook calendar can connect to their Outlook calendar from Projectworks. 

Your Projectworks environment will need to have the Outlook Calendar Integration enabled to allow people to connect.

Projectworks administrators can enable the Outlook Calendar Integration from the settings section of Projectworks.

Enabling Outlook calendar to your environment

It is a simple process to enable the Outlook Calendar Integration to allow people to connect to their Outlook calendar.

Projectworks administrators: Activate the Outlook Calendar Integration from the within the settings section of Projectworks (Settings > Integrations > Enable Integrations).

Connecting to your Outlook calendar

Each person who wants to view their Outlook calendar events in Pojectworks will need to connect their calendar. 

Connect your Outlook calendar from within your personal Projectworks settings:

  1. Click on your initials in the top right hand corner;

  2. Select “Settings”;

  3. Select the “Timesheet” tab;

  4. Click on “Connect Outlook Calendar”;

  5. Follow the prompts to connect your Outlook calendar.

If you can’t connect, your Microsoft administrator may need to allow Projectworks access to your organisation’s Microsoft account.

On occassion your Outlook connection may expire, in which case you will be prompted to reconnect to your Outlook calendar.

  1. Click on “Reconnect Outlook Calendar”;

  2. Follow the prompts to connect your Outlook calendar.

Disconnect your Outlook calendar

If you don’t always want your Outlook calendar events to display in your Timesheet, you can simply switch the calendar toggle “off” on your Timesheet. The toggle allows you to show and hide your calendar events to suit your needs. image-20251201-202053

If you don’t want Projectworks to have access to your Outlook calendar at all you can disconnect it.

Disconnect your Outlook calendar from within your personal Projectworks settings:

  1. Click on your initials in the top right hand corner;

  2. Select “Settings”;

  3. Select the “Timesheet” tab;

  4. Click on “Disconnect Outlook Calendar”.

If the Outlook calendar integration is disabled, you will be automatically disconnected from your Outlook calendar.

Troubleshooting

I cannot see the Outlook Calendar setting in my Timesheet settings

If Outlook calendar hasn’t been enabled for your enviroment, you will not have the option to connect to your Outlook calendar.

If you think you should be able to connect to your calendar, contact your Projectworks administrator.

I can’t connect to my Outlook Calendar

If Projectworks does not have access to your organisation’s Microsoft account, you will need to request access. Your Microsoft administrator will need to allow access before you can connect.
