Margin reporting on time entries

Margin on individual time entries gives you a more granular view on margin than person, project, or company margin.

Margin

Margin = Invoiced Amount minus Cost

Cost =  Person’s Cost × Hrs

Margin % = Margin divided by Invoiced Amount

If you have access, you can view time entry Margin (and Costs) on the following time entry screens:

  • Time > My Time Entries

  • Time > All Time Entries

  • Person > Time Entries

  • Project > Time Entries

A person’s cost can change on a daily basis, so if a new benefit has been added or their salary or rate has changed from a certain date, their cost will differ (even if the hours worked are the same). 

If a person is paid in a currency that differs from the project currency in which their time was invoiced, their daily cost in the project currency may fluctuate, even if the same number of hours were worked, due to the foreign exchange rate on the day.

Select the ‘Hide/ show/ group’ filter and select to view cost or margin columns. The All Time Entries screen gives you the ability to see all time entries you have access to, and group these time entries to give you access to the margin at different levels, e.g. person, project, or organisation level.

Access control

Users who “Can see margin (everything, incl. cost per person)” have the ability to show the cost and margin for the time entries belonging to people and projects that they have access to.

Projectworks administrators

To set up the access levels to allow access to these columns you will need to tick:

  • Can go to Projects;

  • Can see dollars;

  • Time “Can view other’s”; and

  • Metrics “Can see margin (everything, incl. cost per person)”image-20250521-023727

If a User has access to “Can see margin (summary only)”, they do not have the granular access to view individual costs per person, so cannot view margins on the time entries they have summary only access to.

Troubleshooting

I don’t have the option to show cost or margin on the Time Entry screen I am viewing

If you don’t have the option to view the “Cost” or “Margin” columns in the time entry screens:

  • Time > My Time Entries

  • Time > All Time Entries

  • Person > Time Entries

  • Project > Time Entries

contact your Projectworks administrator to ensure that you have the correct “Can see margin” access level enabled to see all the time entries that you need to access.

The Cost and Margin columns are displayed, but I can’t see the margin for some time entries

If you have access to view other’s time, but “Can see margin (everything, incl. cost per person)” is restricted to:

  1. organisation; or

  2. project; or

  3. project manager;

you have the option to view the “Cost” or “Margin” columns in the time entry screens, but not for all of the time entries that are displayed. image-20250703-030849

If you think you should be able to view the margin of more time entries, contact your Projectworks administrator to ensure that your “Can see margin” access level restrictions are set up correctly.

Why is the margin changing for a person when the hours worked and billable rate are the same

If a person who has worked on a project is being paid in an alternate currency, then their cost per hour will fluctuate dependent on the FX rate. So, if they work the same number of hours on a timecode - even if their cost or billable rate has not changed - their cost and margin may differ.image-20250703-035142

I can see a person’s margin, but not their margin %

Margin % = Margin divided by Invoiced Amount

So if the Invoiced Amount = 0.00 or the time entry has not been invoiced, the margin % cannot be calculated.
