Overview of Reporting

Projectworks provides a variety of reporting options to help you access, analyze, and present information in the way that best supports your business.

There are several ways to work with information to view, filter and create reports from within Projectworks. These are all defined as a “Report”, our current views include:

  • Directory Views - These are List Views available in multiple locations within the system including Projects, People and Forecasts.

  • Dashboards - We have three high-level summaries, My Dashboard, Executive Dashboard and Finance Dashboard, available by clicking the PW logo on the top left.

  • Reports - This contains a Reporting Directory of either Reports or Reports( Legacy) and Reports (New), which have been created by Projectworks. They have been generated as they cover the most common use cases for operational and informational reporting.

    • Reports (New) - If you have custom reporting enabled you will be able to duplicate a Report and edit a report on the Reports (New) list or “Add Custom Report” using Metabase.

In addition to the above you can export information out of Projectworks:

  • Web Print - Printing allows you to have a physical copy of the information and is useful when you need access to information which is too large to be reasonably viewed on-screen.
  • Download CSV - A CSV download will allow you to work with the data in programs like Excel.

  • SQL Connection - There are SQL views available for reporting building. Connect PowerBI, Tableau, Excel - or anything that uses SQL (Requires skilled SQL & Reporting within your business).


Directory Views

Directories display information by row and column: You have the ability to adjust the columns of information you present by checking on the required boxes.

“GROUP BY” - Arrange the information by certain fields. (Example: Group all projects by Company).

“Filters…” - Filter down to the key information you wish to review (i.e. filter out information you do not need to review), (Example = “Project Manager” as this means Project Managers are only reviewing information within the directory that relates to them.

Users can check on the “remember selection” which will hold the filtered view for the users to return to (This is specific to each user).

Dashboards

The Dashboards give you a high-level status view across Projectworks. My Dashboard contains a summary of aspects which may require your attention such as a list of Invoices which still require your Managers approval or pending leave approvals for your direct reports. The Executive and Finance Dashboard apply the same principal but from a Company perspective, for instance tracking where your Utilisation percentage is sitting for your Organisation over the past, current and coming month.

Reports

The reporting directory contains reports. This will be named Reports or Legacy/New, if you have Custom Reporting enabled for your Organsiation. They have been generated by Projectworks and broadly fall into two categories operational reports, those tightly coupled with a workflow, such as Month End Reporting or Resourcing availability and complex informational reports such as our Margin By Project or Utilisation Target Report.

Reports - This is the read only Reports Directory view you will have if your account does not have Custom Reporting enabled.

Reports (Legacy) - This is a read only list of the Reports Directory. Depending on the report you will also be able to “Filter” and “Group By”.

Reports (New) - This is a list of reports for which you can set view permissions using Manage Reports. If you have custom reporting enabled you can duplicate any report in the Reports (New) list to edit and create your own report. You can also create a new custom report by selecting “+Add Custom Report”

From within any report you can choose to download the results as a CSV or you can download the report as a PDF.


Web Print

If you need to collate more information than can reasonably be displayed or formatted on-screen there is the option to Print the Web Page from your browser, that you are on as shown below.

All Directories where data is available can be downloaded into a CSV. To download a CSV of what you have on screen is to click on the purple down arrow . From here you are able to view your data in excel and Filter or Pivot the data.
