Introduction to users accounts, access levels, and postings

This page gives you an overview of how users work within Projectworks before you start adding people.

It's important to understand the three distinct pieces of information required to effectively have a person set up within Projectworks:

1.  User account - each person needs to have a user account to be able to login to Projectworks.

2. Access Level - they also require an access level which dictates what access that user gets to various screens and features.

3. Posting - Postings are a key component of Projectworks, they are a set of a person’s information that is always time-bound and retained for reporting purposes (a person can have multiple postings over the course of their employment as they move around, gain promotions & pay rises, etc). Without a current posting a person can still login but cannot be resourced or do timesheets.

It is the combination of all of these that ensures people can access what they need and show their current "place" within the organisation. 


User account

  • A user account is required to access Projectworks and is automatically created when you add a person.

Access level

  • Access levels are assigned to people to provide access to screens and features.
  • A user can only have one access level assigned at anytime

  • You can create as many access levels as you wish to suit your organisations requirements, this helps show/hide different features and functionality to your users giving them specific read/write permission throughout our platform.


Posting 

  • A "posting" records specific details about a person, for a certain point in time, including:
    • Organisation, team, position, line manager, work week, utilisation target, billable rate (if not using role-based rates)

  • People can still login without a posting but they will have no capacity available (derived from a work week) for resourcing and will not be able to enter timesheets.
  • A user might exist within your environment but their account might be deactivated (or not yet activated). If you can see someone's details under your "People" tab but know they can't log in, head here for our logging in FAQs.
