Validating your migrated WorkflowMax data

The migration process treats all projects the same – the data is translated and inserted the same way. As your WorkflowMax data will continue to change, any data added to WorkflowMax after the data was exported won’t be present in Projectworks.

Things to check include:

• Has the structure of projects been translated how you would expect?

  • WFM has Jobs and tasks, Projectworks has projects, budgets and timecodes

  • A WFM Task has been created as a budget and a timecode in Projectworks.

  • Projects were created from the latest accepted quote, or if no quotes they are based on the tasks

• Have the correct billable rates been set on projects

  • If there were over ride set on the job they have been used

  • If not, the task or staff rates are used depending on what each job was configured to use

• Have the project budgets been set how you would expect

  • If there was a quote the most recent approved quote has been used

  • Otherwise a budget line “WFM Budget” is inserted into each project and has the value from the budget field on the job 

  • Did you use estimated hours on tasks

• Is the total hours worked per task and project correct

• Is the billable value of the time correct (hours worked at billable rates)

• Are the expenses (job costs) correctly reflected on projects

• Is the invoiced total correct

• Are all invoices on the project

• If a person has allocated hours on a task they have been set as their expected hours on the timecode

• Have the Account Manager and Project Manager been correctly set on projects

• Project contractual status correctly set – we map these based on the State custom field, and translate based on interpretation of the values. For example:

  • Signed = In Progress, On Hold

  • Unsigned (committed) = Planned, Hot Prospect, Verbal agreement

  • Archived = Completed, Cancelled, Lost

WorkflowMax has custom fields which are able to be migrated into Projectworks. These aren’t uploaded by default, we just need you to let us know which ones you would like us to set up and populate.
